This Privacy Policy explains how [YOUR ORGANISATION NAME] ("we", "us", "our") collects, uses, stores and protects information when you use the GyanUp mobile application (package name com.gyanup.app) and any related services (together, the "App").
By creating an account or using the App, you agree to this Policy. If you do not agree, please do not use the App.
Account details — your name, email address, password (stored only as a secure one-way hash, never in readable form), class level, and role (student, teacher, notice keeper or administrator).
Profile information — optional profile photo and, for teachers, the subject you teach.
Content you create — messages you send in class group chats and direct messages, notices, notes, study material, questions and replies.
Media and files — images, videos, PDF documents and voice recordings that you choose to attach to a message or notice.
Password reset information — a temporary reset code and its expiry time, if you request a password reset.
2.2 Information collected automatically
Device information — device model, operating system version and a unique push notification token, used to deliver notifications to the correct device.
Activity information — the time you were last active, message delivery and read status, and attendance or exam records created through the App by your institution.
Technical logs — basic server logs such as request times and error reports, used to keep the service running and secure.
We do not collect: precise location data, contacts, call logs, SMS messages, browsing history outside the App, biometric data, or financial or payment information. The App contains no advertising and no third-party advertising trackers.
3. Device permissions we request
The App asks for the following permissions. You may decline any of them; the related feature will simply be unavailable.
Permission
Why it is used
Photos & media
So you can set a profile picture and send images in chat.
Microphone
So you can record and send voice messages.
Files & documents
So you can attach PDFs and study documents.
Notifications
To send class updates, exam reminders and new-message alerts.
Vibration
To provide haptic feedback with notifications.
Run at startup
To restore scheduled reminders after your device restarts.
Media is accessed only at the moment you select a file. The App does not scan or upload your photo library in the background.
4. How we use your information
To create and manage your account and verify your class and role.
To deliver the App's core features: class group chats, direct messages, notices, notes, study material, exams and attendance.
To send notifications about classes, exams, announcements and messages.
To keep the service secure, prevent abuse, and investigate misuse.
To fix problems and improve the App.
To comply with legal obligations.
We process this information because it is necessary to provide a service you have requested, because you have given consent (for optional features such as your profile photo), and because we have a legitimate interest in keeping the service safe and working.
5. Who can see your information
Other users of your institution. Your name, profile photo, class level and role are visible to other members of your class and to teachers and administrators. Messages you post in a class group are visible to everyone in that group. Direct messages are visible to you and the recipient.
Teachers and administrators of your institution can see class rosters, attendance, exam records, notices and content posted in class groups, as part of running the tuition programme.
Service providers who host our servers, database and file storage, and who deliver push notifications. They process data only on our instructions and may not use it for their own purposes.
Legal authorities where we are required by law to disclose information, or where disclosure is necessary to protect someone's safety.
We never sell your personal data, and we do not share it with advertisers or data brokers.
6. Children's and students' privacy
GyanUp is designed for students enrolled with our tuition institution, including students below the age of 18.
Accounts are created for, or approved by, the institution. We do not knowingly allow unaffiliated members of the public to register.
We collect only the information needed to run classes and communication — we do not profile students or use their data for advertising.
A parent or legal guardian may contact us at any time at [YOUR-EMAIL@DOMAIN.COM] to review, correct or request deletion of their child's information.
If we learn that we have collected information from a child in a way that is not permitted, we will delete it promptly.
7. Data retention
We keep your account information for as long as your account is active. Messages, notices and study material are retained while they remain relevant to your class. When your account is deleted, we remove or irreversibly anonymise your personal data within 30 days, except where we must keep certain records to meet a legal obligation or to resolve a dispute.
8. How to delete your account and data
You can request deletion of your account and associated personal data in either of these ways:
In the App, open Profile → Settings → Delete account, or
Email [YOUR-EMAIL@DOMAIN.COM] from the address registered to your account with the subject line "Delete my account".
We will confirm and complete the request within 30 days. Messages you sent to group conversations may remain visible to other participants in anonymised form, as they form part of another person's conversation history.
9. Your rights
Depending on where you live, you may have the right to:
access a copy of the personal data we hold about you;
correct information that is inaccurate or incomplete;
request deletion of your data;
object to or restrict certain processing;
receive your data in a portable format;
withdraw consent at any time, without affecting processing carried out before withdrawal.
We protect your information using encrypted connections (HTTPS/TLS), one-way hashing of passwords, access controls that limit staff access to what their role requires, and regular updates to our systems. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we take these safeguards seriously and will notify you and the relevant authority if a breach affects your personal data as required by law.
11. Data location and transfers
Your information is stored on servers located in [COUNTRY / REGION WHERE YOUR SERVER IS HOSTED]. If data is transferred outside your country, we take steps to ensure it receives a comparable level of protection.
12. Third-party services
The App is built with the Expo and React Native frameworks and uses the following third-party services:
Expo Application Services — app builds and over-the-air updates.
Expo Push Notification Service / Firebase Cloud Messaging — delivery of push notifications.
[YOUR HOSTING PROVIDER] — application server, database and file storage.
These providers process data on our behalf under their own privacy terms. The App may contain links to external study resources; we are not responsible for the privacy practices of those websites.
13. Changes to this Policy
We may update this Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page and, if the change is significant, notify you in the App. Continued use of the App after a change takes effect means you accept the revised Policy.
14. Contact us
